Don't automate the close. Automate the chase.

Most of the time in a month-end close is spent before it starts. Finding what's missing, asking for it, waiting. Then reconciling after the fact.

Where the time goes

The close is not where most of the time goes.

It goes to the steps before it. A document is missing. Nobody knows until someone needs it. Someone asks the client. The client sends the wrong one, or sends it late. Someone asks again.

When it finally arrives, the work is reconciling backwards. Matching transactions to documents that should have been there weeks ago.

The root cause

There is no clear structure up front for three things:

  • What to collect from each client.
  • When to collect it.
  • How to keep it organized once it arrives.

Without that, gaps show up during the close. That is the worst time to find them, because everything else is waiting on them.

Why automating the close doesn't fix it

An AI that runs the close works from the same incomplete records. It still produces output. The output looks finished.

The mistakes are not visible. So the output needs a full review. The same review you would give work from someone new, who may have made errors you can't see. Line by line.

The time does not go away. It moves from doing the work to checking it.

Where AI fits

Earlier. At intake.

  1. List the expected documents for each client, for each period. Bank and card statements, payroll reports, bills, receipts.
  2. Check what arrives against that list.
  3. Flag what is missing. Name the exact item.
  4. Ask the client for that item. Not "send everything." The specific statement, for the specific month.
  5. Track it until it arrives.

This job is narrow. The rules are clear. A wrong result is easy to check: the document is there or it isn't. That is what makes it a good fit for AI.

What stays with people

Categorization. Judgment on unusual items. Anything that gets filed. Conversations with the client that need context.

AI flags and asks. A person decides.

What to measure

One number: days from period end to having every document in hand.

If that number goes down, the close gets shorter without touching the close.
